Transfer a Customer to a New Unit
Customers' needs change and it's easy to accommodate them as they move from one unit to another, retaining their information. There are two ways to do this:
Option 1: Use the Move Unit feature
This feature allows the business to easily change the unit for an existing customer, while keeping previous lease information intact, and automatically prorating the rent difference.
- Select the customer under Customers > My Customers.
- Under the blue Actions menu, select ‘Move Unit for Lease – Unit #’.
- In the Move Unit window under the ‘Move To’ section select the unit the customer is moving to, along with the move date.
- If you a moving fee, enter the moving fee information.
- Check your work, then Save.
Notes:
- The Move Date selected will determine the prorated rent if the price of the new unit is different from the unit the customer is moving from.
- If the rent has already been paid, the money will be reallocated to the appropriate rent items for each unit, based on the Move Date.
Option 2: Edit the Unit in the Lease details
- Select the customer under Customers > My Customers.
- Go to the customer’s Lease tab, and select the specific lease you’d like to change.
- Click on the blue "Edit" button.
- Find the Unit drop down menu and choose the new unit the customer is moving into. Be sure to check the rental rate; it will automatically populate with your business' standard rental rate for the new unit size. If you have adjusted rent for that customer, now is the time to make sure it is correct.
- Go to the Customer's Invoicing & Payments tab to issue a refund or add a balance adjustment.
Tip: We also recommend that you record a note indicating the customer transferred from one unit to another.
Option 3: Start a new lease
- End the current lease and begin a brand new one.
Keep in mind the legal paper trail. Customers can sign a new lease as they move from unit to unit, or you can use our eLease function to have them re-sign the lease for any reason.
